Digital real estate management for portfolios - sourcing without data 

The pressure to change is increasing for players in real estate management. The necessary transformation processes must be implemented between the conflicting priorities of digitalization and data management, ESG and decarbonization as well as increased efficiency and cost savings. In this environment, property management (PM) and facility management (FM) are particularly challenged to question, supplement and in some cases redefine their established services and service profiles. However, stakeholders are often stuck in the transformation process due to various obstacles. 

Resolving complexity in the procurement process with Beestate® 

For Alpha IC, the T-model has established itself in the awarding process, particularly with regard to portfolio awards. The range of services extends from the administration of FM in combination with basic services supplemented with special fields, which we refer to as best-in-class services.  

Best-in-class can be, for example, elevator management services, energy management, waste disposal management or the classic SV and SK inspections. This combination leads to a high level of complexity in managing data and information in a matrix and also transferring it to the real estate portfolio. In order to deal with this complexity, it is necessary to use the right tools. At Alpha IC, we use Beestate® because it allows us to award contracts in a matrix on the basis of the T-model. We can therefore select services in lots and also assign them to individual properties, locations or entire regions. 

Sourcing without data 

Beestate® is a process-oriented platform model for the entire FM process. The main aim is to map and continuously enrich data and information in a cycle. Not only in the sourcing process, but also in the implementation, i.e. the continuous maintenance of orders, through to auditing and a corresponding performance dashboard. 

How can you source without data and information? This is a key question for our customers, as portfolio holders have severe to very severe data deficits for over 50% of their properties. 

The use of Beestate® helps us to define a comprehensive cost catalog for the collaboration via framework service specifications. Even if we do not currently know exactly which systems and areas are present in the building, it is still possible to maintain the order economically at a later date. This saves us time-consuming data entry during the tendering process and enables us to award contracts quickly. 

Realistic portfolio data in a two-stage process

In the first step of implementation, we ask the relevant service providers to collect data so that we can then ultimately map the real mass specifications. So we award contracts without data and after an implementation process lasting six months, we have enriched the data and can map reality. Further process steps, such as auditing and quality assurance as well as a benchmarking dashboard, then initiate a continuous improvement process in the cycle. 


Using Beestate as middleware for established system platforms 

Beestate® acts as middleware for the various system platforms used by our customers. With interfaces to common ESG platforms and classic CAFM systems, data enrichment and structured reporting can be implemented depending on the requirements profile. In summary, it can be said that digitalization, sustainability requirements and efficiency improvement programs are driving the transformation of the industry.
